Abstract Submissions

When can I submit an abstract?

Regular and Young Investigator Award (YIA) Abstracts:
The submission period is April 23, 2025, through June 26, 2025, at 5 p.m. PT.

Late-breaking Abstracts - Clinical Only (LBAs):
The submission period is July 16, 2025, through Sept. 15 , 2025, at 5 p.m. PT.

How many authors can I include?

There is no limit to the number of authors that can be included on an abstract. All authors must have at least one institution listed, and there must be a minimum of one corresponding, one primary and one presenting author for each abstract.

How does the presenting author submit their COI?

Once an abstract is submitted, the presenting author is automatically sent an email notification asking them to complete their Conflict of Interest (COI). The email notification contains a link that takes to the online COI form. They will need to log in to their SITC Connect account to access the form. Should the presenting author have any issues with the online COI form, they can reach out to education@sitcancer.org. The submitting author can check if the presenting author has submitted their COI by reaching out to SITC staff at education@sitcancer.org

How many tables, figures and images can I include?

There is a limit of 2 tables, figures or images that can be included on an abstract. All figures, tables and images must be numbered (i.e.: Table 1, Figure 1, or Image 1) in the title field and cited in the abstract text.

How do you define a Clinical Trial in Progress?

Overview & Criteria

SITC understands the crucial need for collaboration and discussion surrounding clinical trials in progress. This abstract submission category aims to allow for open dialogue surrounding such trials and hopes to foster a unique environment in which to discuss the research that is being done.

All phases of clinical research may be considered for inclusion in the Clinical Trials in Progress abstract submission.
Although there are no absolute criteria for abstracts submitted under this category, SITC provide the following general guidelines for your consideration as you prepare your abstract submission for this category.

All abstracts submitted under this category, as for all abstracts submitted in any category, are subject to peer review and possible rejection from being included as an oral and/or poster presentation in the 40th Anniversary Annual Meeting & Pre-Conference Programs (SITC 2025).

Submission Guidelines

  • Background
    • Scientific background/rationale for the trial should be included
    • Preclinical and/or earlier-phase clinical data that has already been publicly presented or published may be included with references
    • Abstracts should be written/designated with respect to the correlates and hypothesis being tested in clinical trials
  • Methods
    • Clinical trial registry number (required, if appropriate)
    • Trial design and statistical methods (include)
    • Treatment or intervention planned (include)
    • Major eligibility criteria, highlighting unusual aspects (include)
    • It is not a requirement that the trial be recruiting (current status of “Open but Not Yet Recruiting” is acceptable)

NOT acceptable in a Clinical Trial in Progress abstract:

  • Completed trials (these should be submitted in other categories)
  • Brand or proprietary drug names

Do you accept abstracts after the deadline?

Unfortunately, SITC does not accept any Regular or Young Investigator Award (YIA) Abstracts after June 26, 2025 at 5 p.m. PDT and does not accept any LBAs after Sept. 15, 2025 at 5 p.m. PT.

Late-Breaking Abstracts - Clinical Only (LBA)

LBA submission is solely for abstracts with late-breaking data from interventional clinical trials in humans and not for abstracts submitted “late.” The LBA deadline is not intended to be an extension of the general submission deadline. LBAs highlight novel and practice-changing in-human clinical studies, and only apply to data that would have not otherwise have been presented as an abstract at the 40th Anniversary Annual Meeting.

Authors of LBAs do not need to submit an application or a place-holder abstract. LBAs should be submitted during the LBA submission period, from July 16–Sept. 15 at 5 p.m. PT.

If a Late-breaking Abstract is not accepted, it will not be published or presented at the meeting. There is no longer an option for it to be considered as a Regular/YIA Abstract.

I have not received information about my abstract, who should I contact?

For all questions regarding abstracts please contact education@sitcancer.org.

Regular and Young Investigator Award (YIA) Abstracts will be notified if their abstract was accepted for presentation on Aug. 1, 2025. LBA notifications will be sent on Sept. 30, 2025.

Do I need to be a SITC member to submit?

You do not need to be a SITC member to submit a Regular or Late-breaking Abstract. You must be a SITC member to be considered for the Young Investigator Awards.

What information do I need to submit for my abstract?

The following items are requested, if applicable, when submitting an abstract:

  • Title
  • Background
  • Methods
  • Results
  • Conclusions
  • Acknowledgements
  • Trial Registration
  • References
  • Consent
  • Ethics Approval
  • Authors and Institutions
  • Tables, Figures and Images

In addition to the items above, Young Investigator Award Abstracts need to include the following:

  • A letter of recommendation from a supervisor (.doc, .docx, .pdf)
  • Confirm they are a SITC member
  • Confirm they are a student, postdoctoral research fellow, clinical fellow, or junior faculty with three or fewer years on staff, and if so, identify which category they represent
  • Indicate the percentage of contribution by the primary and presenting author in regards to conception and design, collection and assembly, data analysis and interpretation, and abstract writing

Clinical Trial In Progress and Clinical Trial Complete abstracts need to include the following:

Abstract submitters must answer whether the abstract being submitted is based on a clinical trial and will be presenting clinical data. If the abstract being submitted is a clinical trial abstract, please mark whether it is an in progress or a completed clinical trial. For more information about what is considered a clinical trial in progress, click here. If the abstract will incorporate basic or pre-clinical research, please mark that it is not a clinical trial abstract.

Inclusion Enrollment Report Data Table: To assist with SITC’s commitment to improve diversity and inclusion in clinical trials, it is asked that clinical trial abstract submitters please complete the Inclusion Enrollment Report data table, which follows the NIH data template. This data will not be shared with abstract reviewers and will not be included in the publication of accepted abstracts. The data will only be accessible to SITC staff and will only be reported in aggregate. Presenters for abstracts that are accepted for a poster or oral presentation are encouraged to include this data in the presentation if applicable. Thank you for helping SITC monitor the landscape of diversity in clinical trial enrollment.

Late-breaking Abstracts need to include the following:

  • Clinical Study
    • Closure date of the study
    • Primary clinical endpoint for analysis
    • Type of analysis
  • Lab-based Study
    • Provide an explanation why the experiment(s) could not be completed before the Regular Abstract submission deadline, June 26, 2025, and needs to be considered for late-breaking submission

What is included in the 400-word count of the abstract?

The only items that are required to stay within the 400-word count are the background, methods, results, and conclusion. The following items are not included the 400-word count limit:

  • Acknowledgements
  • Trial Registration
  • References
  • Consent
  • Ethics Approval
  • Authors and Institutions
  • Tables, Figures and Images

When will I find out if my abstract was selected?

Regular and Young Investigator Award Abstracts will be notified if their abstract was accepted for presentation on Aug. 1, 2025. Late-breaking Abstract notifications will be sent on Sept. 30, 2025. Late-breaking Abstracts not accepted will not have the opportunity to present at SITC.

What is the deadline to withdraw a Regular or Young Investigator Award (YIA) abstract or request changes? 

The deadline for Regular and Young Investigator Award (YIA) abstract withdrawal or to request changes, including presenter changes, is Aug. 8, 2025.

This deadline is set in place because the abstract information is pulled for publication immediately following these dates and cannot be edited after that. If you would like to withdraw or make a change to your abstract after the submission deadline and before the applicable date above, you must submit your request in writing to education@sitcancer.org

How do I submit my conflict of interest form after I have submitted my abstract?

After you have submitted your abstract, you will receive a confirmation email. The presenting author will then need to click on the link, which will take them to the online COI form. You will need to log in using your SITC Connect account to access and complete this form.

Late-Breaking Abstract - Clinical Only (LBA) Submissions

Can basic or translational research be submitted as a LBA?

LBAs must address interventional clinical trials in humans. LBAs addressing basic science or translational data with no in-human studies will not be accepted. LBAs may contain data from preclinical studies, but they must also include clinical data from in-human trials.

Because LBAs will be limited to clinical studies, authors submitting an abstract of a basic science or translational study must submit their abstract by the Regular/YIA Abstract deadline of June 26 at 5 p.m. PT. If some results from the study are not available before the abstract submission deadline, authors are encouraged to submit an abstract by the deadline and include the new data in their abstract presentation.

What is the eligibility criteria for a LBA? 

Late-breaking Abstract

Clinical Only (LBA) submission is solely for abstracts with late-breaking data from interventional clinical trials in humans and not for abstracts submitted “late.” The LBA deadline is not intended to be an extension of the general submission deadline. LBAs highlight novel and practice changing in-human clinical studies and only apply to data that would have not otherwise have been presented as an abstract at the 40th Anniversary Annual Meeting.

If a Late-breaking Abstract is not accepted, it will not be published or presented at the meeting. There is no longer an option for it to be considered as a Regular/YIA Abstract.

Examples of acceptable LBAs include the following (in each case, results were not available or significant by the regular abstract submission deadline):

  • Results of a practice-changing prospective Phase III clinical trial
  • Phase II study showing anti-tumor activity in a novel context
  • An early in-human clinical trial with novel proof-of-principle data

What is the deadline to submit a LBA? 

LBA submission closes on Sept. 15, 2025 at 5 p.m. PT.

Do I need to submit an application or placeholder abstract for LBAs?

No, an application is not required. LBAs should be submitted by Sept. 15, 2025 at 5 p.m. PT.

What additional information needs to be submitted with a LBA submission? 

LBA submission is solely for abstracts with late-breaking data from interventional clinical trials in humans and not for abstracts submitted “late”. LBAs will need to include the following information in their abstract:

  • Closure date of the study
  • Primary clinical endpoint for analysis
  • Type of analysis
  • Provide an explanation why the abstract should be considered for late-breaking submission

LBAs are considered for a limited allocation of oral and poster presentation slots on either Friday, Nov. 7 or Saturday, Nov. 8.

Accepted Abstracts

Is registration free because my abstract was accepted?

Unfortunately, SITC does not offer free registration to abstract presenters.

My abstract has been accepted, how do I confirm my participation?

After Regular, Young Investigator Award and Late-breaking Abstracts are reviewed and selected, abstract submitters are sent an email notification stating whether the abstract was accepted, and, if so, what type of abstract presentation it was accepted as. Within the notification, the abstract submitter will also be asked to accept or decline participation in SITC 2025.

If SITC does not receive a response by the stated deadline, SITC will assume you agree to present and will include your abstract.

I was accepted for an oral abstract presentation, can I present my abstract as a poster as well?

In addition to oral abstract presentations, oral presenters are invited to present their abstract as a poster and an ePoster as well. ePosters can be uploaded by the presenting author (more information provided in the Speaker Management System). 

Can I change my abstract number?

Once assigned, abstract numbers cannot be changed.

How can I view my submitted abstract?

You may view your submitted abstract by logging into the abstract submission system and clicking on 'Abstract Submissions'.

When is the deadline to withdraw my abstract?

The deadline for Regular Abstract and Young Investigator Award Abstract withdrawal is Aug. 8, 2025. The deadline for Late-breaking Abstract withdrawal is Oct. 7, 2025. If you would like to withdraw your abstract between the submission deadline and this date, you must submit your request in writing to education@sitcancer.org

My abstract was accepted, do I have to register for the meeting?

Yes, the presenting author must register for the Annual Meeting to present an abstract. Submitting an abstract does not register you for the meeting. All presenting authors are responsible for registering themselves, and booking their own housing, if needed.

When will I find out when I am presenting?

Both oral and poster abstract presenters will be informed of their presentation details in their notification email sent on Aug. 1, 2025 for Regular and Young Investigator Award Abstracts and Sept. 30, 2025 for Late-breaking Abstracts.

What is my abstract number? Is this different than the abstract ID number?

The abstract number refers to the number assigned to the abstract by SITC, which will be provided in the abstract notification email. The abstract number is the number that is made public for your abstract. The abstract ID is what is assigned by the submission site when you submit your abstract. This number is used for administrative purposes and is not made public.

What does the abstract number mean?

The abstract number determines where your abstract will be listed in all publications including the Journal for ImmunoTherapy of Cancer (JITC) Supplement, and on the SITC 2025 website and meeting app. For abstracts selected for poster presentation, it also determines where your poster will be located in the Poster Hall.

How is the abstract number assigned?

The abstract number is determined by the category selected when the abstract is submitted and the last name of the primary author.

What information is needed for my presentation?

Oral Abstract Presenter:

  • Presenter’s photo and brief biography

When can I set up and take down my poster?

Regular Abstracts, Young Investigator Award Abstracts and Late-Breaking Abstracts:

  • Friday, Nov. 7, 2025 – Odd Numbered Posters
    • Poster Hall Hours: 9 a.m.–7 p.m. ET

What are the poster specifications?

Poster Specifications will be included in the notification emails that will be sent on Friday, August 1, 2025 for regular and Young Investigator Award abstracts and on Wednesday, September 30, 2025 for LBAs.

Do I need to upload an ePoster?

Providing your poster as an ePoster is required. Abstract ePosters will be available to attendees on SITC 2025's Virtual Platform, beginning Friday, Nov. 7, 2025. 

Please note, everyone with an accepted abstract is required to submit an ePoster. Those who attend SITC 2025 in person are asked to bring their physical poster to be put up in the in-person Poster Hall. SITC will not print posters for authors.

Do I need to print my poster number on my poster?

No, posters do not need to have the poster number printed on them. Poster numbers will be on the poster boards.

Are there any special accommodations for disposing or shipping my poster after the conference?

SITC does not provide any recommendations or accommodations for shipping or disposing of any posters. The presenting author must bring the poster with them to the meeting for their presentation. Posters left in the Poster Hall on Saturday, Nov. 8, 2025, will be disposed of by the convention center staff.

Is there audio visual for rapid oral and poster symposium presentations?

Yes, there will be a microphone as well as a screen for a short presentation for oral abstract and poster symposium presentations.

When and where will the abstract titles be released?

The Regular and Young Investigator Award Abstract titles will be released on Oct. 3, 2025, on the SITC 2025 website. The Late-breaking Abstract titles will be release on Oct. 30, 2025 on the SITC 2025 website.

How do I change the presenter for my abstract?

Can I give an encore presentation?

Any abstract previously accepted and/or published (by any meeting or publisher) must contain substantial new data in order to be considered. This includes Trial in Progress abstracts. Contact education@sitcancer.org if you have questions pertaining to substantial new data.

Why do you need presentation slides before the meeting?

All presentations are needed prior to the meeting for review to ensure they follow the guidelines given to the author.

What if I have edits to my presentation after Oct. 24?

A Faculty Resource Room will be available onsite during SITC 2025 for presenters to upload updated slides onsite. All faculty are required to load final presentation slides at least 48 hours before the start of the program in which they are presenting. Please note, there may be a wait time for uploading your slides. Please plan accordingly. SITC will do everything possible to make wait times brief, but your patience with the process will be appreciated.

Will the slides be kept confidential?

Slides will be kept confidential until the embargo is lifted at the time of the presentation. Presentation slides may be made available to meeting attendees if permission to publish the slides is received from the presenter per the recording permission form.

Where will the posters be located?

The Poster Hall location is Exhibit Hall Prince George ABC.

When will the poster hall be open?

The Poster Hall will be open from 9 a.m.–7 p.m. ET on Friday, Nov. 7, 2025 and from 9 a.m.–8:40 p.m. ET on Saturday,  Nov. 8, 2025. Authors will only need to be by posters during lunch and reception hours on Friday and Saturday; however authors are strongly encouraged to also stand by their posters during all breaks.

When will my poster be on display?

All odd numbered Regular and Young Investigator Award posters will be on display in the Poster Hall (Exhibit Hall Prince George ABC) on Friday, Nov. 7, 2025 from 9 a.m.–7 p.m. ET, while even numbered Regular and Young Investigator Award posters will be on display in the Poster Hall (Exhibit Hall Prince George ABC) on Saturday, Nov. 8, 2025 from 9 a.m.–6:35 p.m. ET.

All odd numbered Late-breaking Abstract posters will be on display in the Poster Hall (Exhibit Hall Prince George ABC) on Friday, Nov. 7, 2025 from 9 a.m.–7 p.m. ET, and all even numbered Late-breaking Abstract posters will be on display Saturday, Nov. 8, 2025 from 9 a.m.–6:35 p.m. ET.

When do I need to be by my poster?

Regular Abstracts, Young Investigator Award Abstracts and Late-breaking Abstracts:
Presenting authors will be assigned to present their poster in the Poster Hall (Exhibit Hall Prince George ABC) either Friday, Nov. 7, 2025 or Saturday, Nov. 8, 2025, with odd numbered posters being assigned to Friday, Nov. 7, and even numbered posters being assigned to Saturday, Nov. 8.

Author presence is required during the lunch and evening reception times on the day they are assigned to present. In addition to the required hours, all presenting authors are also strongly encouraged to stand by their poster as much as possible during their assigned presentation day, especially during the session breaks.

Friday, Nov. 7, 2025 - Odd Poster Numbers

  • Required Hours: Lunch (12:15–1:45 p.m. ET) and Poster Reception (5:35–7 p.m. ET)

Can I print my poster onsite?

Unfortunately, SITC does not provide any recommendations or accommodations for printing posters onsite at the Annual Meeting. SITC suggests bringing your poster with you while traveling.

Can I include additional information either with a printed handout or by providing a link to more information online?

Yes, posters can provide additional information to attendees either as a printed handout or by including a link or QR code on the poster. Additional information can also be provided by uploading a handout in the SITC Abstract Management System.

Can I issue a press release about my abstract?

Yes, you may issue a press release about your abstract; however, any planned press releases and media alerts must have been reviewed and approved in advance by SITC Communications staff and they must follow the Embargo Policy. Please provide a minimum for two business days for review. Drafts should be emailed to communications@sitcancer.org.

Can I reuse my poster?

Poster presenters retain the right to reuse their poster after the poster embargo, Nov. 7 at 9 a.m. ET.

ePosters will remain on the SITC virtual meeting platform, accessible to Annual Meeting registrants, through Jan. 7, 2026. SITC does not distribute or display ePosters anywhere after Jan. 7, 2026.

When and where will the full abstract content be released?

Full Regular and Young Investigator Award (YIA) Abstract content will be embargoed until 9 a.m. ET on Nov. 4, 2025.

Full Late-breaking Abstract (LBA) content will be embargoed until 9 a.m. ET on Nov. 7, 2025. After that, the abstract content will be published in the JITC Supplement. This includes content within the original abstract submitted. 

This does not include additional data that was available on a poster of the abstract and/or any updated and/or any new data that will be available in oral presentations in SITC’s Annual Meeting.

Registration Questions

Can I register for both virtual and in-person programs? 

The SITC 2025 online registration platform will allow attendees to select from in-person and virtual programs. If you have questions with your registration, please email Showcare at sitc@showcare.com or by calling 1-866-320-3203.

What is the difference between virtual and in-person registration?

Registrants who select to attend Annual Meeting and/or Pre-Conference Programs in person can participate in the onsite meeting and will be granted access to the virtual enduring materials for the selected program(s). Attendees who participate in-person have access to onsite networking opportunities, poster hall and exhibit hall. The virtual meeting platform, including live-streamed content, virtual networking, ePoster hall and virtual exhibits, is available to all registrants for their selected program(s).

Registrants who select to attend the Annual Meeting and/or Pre-Conference Programs virtually will receive real-time access and enduring materials for their selected program(s) using a virtual meeting platform. Attendees who participate virtually will have access to live-streamed presentations with the ability to participate in live Q&A for program(s) for which they have registered. The virtual meeting platform includes virtual networking opportunities, an ePoster hall and virtual exhibits.

Additional programs purchased by in-person attendees can be virtual or in person.

When is the deadline to switch registration types?

There is no deadline or fee to change a registration from virtual or in-person. Changes can be requested by emailing the official SITC registration vendor Showcare at SITC@showcare.com, or they can be reached by phone at 1-866-320-3203.

What is the housing cancellation policy?

All changes and cancellations must be sent in writing via email to SITC@showcare.com. You may also make changes by logging into your registration record by 5 p.m. ET on Wednesday, Oct. 8, 2025. No changes will be accepted between 5 p.m. ET on Wednesday, Oct. 8, 2025, and Monday, Oct. 13, 2025, while reservation information is being prepared and transferred to the hotels. Cancellations or changes as of Tuesday, Oct. 14, must be made directly with the hotels. Change requests will be made on a space-available basis. (If you make changes directly with the hotel on or after Tuesday, Oct. 14, 2025, this information will not be reflected in your SITC registration account.

Cancellation requests received by the hotel 72 hours or less prior to arrival and no-shows will forfeit the one-night room & tax deposit, and the rest of the stay will be cancelled. SITC 2025 is not responsible for no-shows or early departure fees charged by the hotels or rooms resold due to non-arrival. 

SITC 2025 takes no responsibility should a room preference not be available at check-in. Please visit the hotel’s websites for check-in and check-out times.  

Will session recordings and slides be available after the meeting?

Enduring materials (recorded videos and slides) will be available for the programs that an attendee has registered for. Enduring materials will be posted on the virtual meeting platform after each program/session.

What health precautions will be in place at the on-site meeting?

At SITC programs, our goal is to have a safe and meaningful in-person experience.

SITC follows the CDC Respiratory Virus Guidance to make recommendations for health precautions for SITC in-person meeting attendees. Attendees will have access to the meeting content online if they are unable to attend in person due to illness or a positive COVID-19 test. For hybrid programs, attendees can change from in-person to online-only registration by contacting sitc@showcare.com.

Do you offer group registrations or discounts?

No, SITC does not offer group registration discounts and all attendees must have their own individual meeting registration. If someone would like to pay for multiple attendees, please contact the SITC Meetings Team at events@sitcancer.org.

What is the registration cancellation policy?

All changes and cancellations must be sent in writing via email to SITC@showcare.com.  A $50 processing fee will be charged for all cancellations. No refunds will be granted if cancellation is received after Oct. 10, 2025. Special considerations will be given for health or family emergencies if requested in writing no later than Nov. 23, 2025.

How can I book a hotel room?

All attendees must be registered in order to book housing. Attendees will be able to reserve their housing within the registration process.

Will there be a poster hall?

There will be a poster hall on site at the 40th Anniversary Annual Meeting. The on-site poster hall hours are 9 a.m.–7 p.m. ET on Friday, Nov. 7, 2025, and from 9 a.m.–6:35 p.m. ET on Saturday, Nov. 8, 2025. As in typical years, poster presenters will be assigned designated times to present their posters in the poster hall during the poster receptions. Poster presenters are encouraged to attend the conference in person to engage with other attendees.

ePosters will also be available for all accepted abstracts. ePosters are available for meeting participants only and will be available on the virtual meeting platform for the duration the platform is available, Nov. 7, 2025 at 9 a.m. ET through Jan. 7, 2026.

What is the time zone for the meeting?

All meeting times listed for SITC 2025 are in Eastern Time (ET).

Is there a Wellness/Quiet location onsite for attendees?

An electronics-free quiet space will be located on National Harbor Level of the Gaylord Resort & Convention Center, National Harbor Room 9. All attendees are welcome to use this room to meditate, practice religion, reflect, relax and escape the excitement of the SITC events. Please no cell phone use.

Does the hotel offer an airport shuttle?

The resort does not offer an airport shuttle service to nearby airports. Guests may arrange for taxi or car ride app services. Once on-property, Private Car Services and Limousine/Van services are available.

Continuing Education

Which sessions and programs qualify for Continuing Education Credits? The Primer for Tumor Immunology and Cancer Immunotherapy™ and select sessions of the 40th Annual Meeting. Annual Meeting Sessions with credit available will be noted on the schedule pages.
