How can I add a program to my registration?

 Programs can be added by logging back into the registration portal, using the Already Registered section. This can also be found in your confirmation email. Attendees can also call Showcare at 1-866-320-3203.

 Where can I find my Confirmation Number/Registration ID? 

Your Confirmation Number/Registration ID was sent to the email address you used to register from SITC@showcare.com. The email may have been sent to a spam or junk folder. If you did not receive this email, please call 1-866-320-3203.

What is the difference between virtual and in-person registration?

Registrants who select to attend Annual Meeting and/or Pre-Conference Programs in person can participate in the onsite meeting and will be granted access to the virtual enduring materials for the selected program(s). Attendees who participate in-person have access to onsite networking opportunities, poster hall and exhibit hall. The virtual meeting platform, including live-streamed content, virtual networking, ePoster hall and virtual exhibits, is available to all registrants for their selected program(s).

Registrants who select to attend the Annual Meeting and/or Pre-Conference Programs virtually will receive real-time access and enduring materials for their selected program(s) using a virtual meeting platform. Attendees who participate virtually will have access to live-streamed presentations with the ability to participate in live Q&A for program(s) for which they have registered. The virtual meeting platform includes virtual networking opportunities, an ePoster hall and virtual exhibits.

Additional programs purchased by in-person attendees can be virtual or in person.

When is the deadline to switch registration types?

There is no deadline or fee to change a registration from virtual or in-person. Changes can be requested by emailing the official SITC registration vendor Showcare at SITC@showcare.com, or they can be reached by phone at 1-866-320-3203.

Do you offer group registrations or discounts?

No, SITC does not offer group registration discounts and all attendees must have their own individual meeting registration. If someone would like to pay for multiple attendees, please contact the SITC Meetings Team at events@sitcancer.org.

What is the registration cancellation policy?

All changes and cancellations must be sent in writing via email to SITC@showcare.com.  A $50 processing fee will be charged for all cancellations. No refunds will be granted if cancellation is received after Oct. 8, 2024 at 11:59 p.m. PDT. Special considerations will be given for health or family emergencies if requested in writing no later than Nov. 22, 2024 PST.

Will session recordings and slides be available after the meeting?

Enduring materials (recorded videos and slides) will be available for the programs that an attendee has registered for. Enduring materials will be posted on the virtual meeting platform after each program/session.

What is the time zone for the meeting?

All meeting times listed for SITC 2024 are in Central Standard Time (CST).

How can I book a hotel room?

All attendees must be registered in order to book housing. Attendees will be able to reserve their housing within the registration process.

What is the housing cancellation policy?

All changes and cancellations must be sent in writing via email to SITC@showcare.com.  You may also make changes by logging into your registration record by 5 p.m. PDT on Wednesday, Oct. 9, 2024. No changes will be accepted between 5 p.m. PDT on Wednesday, Oct. 9, 2024, and Sunday, Oct. 13, 2024, while reservation information is being prepared and transferred to the hotels.  Cancellations or changes as of Monday, Oct. 14, must be made directly with the hotels. Change requests will be made on a space-available basis. (If you make changes directly with the hotel on or after Monday, Oct. 14, 2024, this information will not be reflected in your SITC registration account. 

Cancellation requests received by the hotel 72 hours or less prior to arrival and no-shows will forfeit the one-night room & tax deposit, and the rest of the stay will be cancelled. SITC 2024 is not responsible for no-shows or early departure fees charged by the hotels or rooms resold due to non-arrival. 

SITC 2024 takes no responsibility should a room preference not be available at check-in. Please visit the hotel’s websites for check-in and check-out times.  

Is there a lost & found?

If you have lost an item while at the George R. Brown Convention Center, you have options to help find it. Please check-in with the SITC registration desk, visit an information desk located on the first or second floor of the building, or call the facility Security Command Center at 713-853-8087.

Please submit a request to inquire about your Lost and Found item. Security staff will contact you as soon as possible regarding your claim.

Please note: GRB staff and partners are not responsible for the recovery, storage, safekeeping, preservation or return of any lost or found item. Items delivered to facility Lost and Found will be held no longer than 30 days. If your item is located at the GRB, you must arrange to pick up your item from the facility or coordinate shipping at your expense. 

Will there be a poster hall?

There will be a poster hall on site at the 39th Annual Meeting. The on-site poster hall hours are 9 a.m.–7 p.m. CST on Friday, Nov. 8, 2024, and from 9 a.m.–8:30 p.m. CST on Saturday, Nov. 9, 2024. As in typical years, poster presenters will be assigned designated times to present their posters in the poster hall during the poster receptions. Poster presenters are encouraged to attend the conference in person to engage with other attendees.

The Immune Engineering Workshop on Nov. 7, 2024 will also include a poster session at 3:10–5 p.m. CST.

ePosters will also be available for all accepted abstracts (including abstracts accepted for both the 39th Annual Meeting and Immune Engineering Workshop). ePosters are available for meeting participants only and will be available on the virtual meeting platform for the duration the platform is available, Nov. 7, 2024 at 9 a.m. CST/10 a.m. EST through Jan. 7, 2025.

What health precautions will be in place at the on-site meeting?

At SITC programs, our goal is to have a safe and meaningful in-person experience.

SITC follows the CDC Respiratory Virus Guidance to make recommendations for health precautions for SITC in-person meeting attendees.

Attendees will have access to the meeting content online if they are unable to attend in person due to illness or a positive COVID-19 test. For hybrid programs, attendees can change from in-person to online-only registration by contacting sitc@showcare.com.

Registered attendees will be notified in advance of any changes to precautions, recommendations or requirements for a SITC meeting.

Will there be a lactation space for attendees?

The George R. Brown Convention Center (GRB) offers a Mamava Lactation Pod for nursing parents looking for a private, clean, and comfortable space to breastfeed or pump. Using the Mamava Lactation Pod is simple and convenient through the free Mamava app that locates and unlocks the pod. App users can also check occupancy status, receive vacancy alerts, or locate nearby pods. The pod is located on Level 3 on the South end of the convention near the Hilton Skywalk. Use the below QR code found in the program book to access the Mamava app.

Is there a Wellness/Quiet location onsite for attendees?

An electronics-free quiet space will be located on Level 3 of the George R. Brown Convention Center, Meeting Room 350C. All attendees are welcome to use this room to meditate, practice religion, reflect, relax and escape the excitement of the SITC events. Please no cell phone use.

How do I access the virtual platform?

How do I access the SITC 2024 app? 

Download the SITC 2024 app through the Apple App store or Google Play store.

What will be included on the virtual platform vs. the SITC 2024 app?

Both the virtual platform and the app feature livestreamed sessions, a virtual exhibit hall, ePoster hall, networking capabilities, a live agenda, and much more.

Virtual Q&A for the ePosters and Exhibit hall will only be available through the virtual platform.

Which browser should I use to access the virtual platform? 

Chrome, FireFox or Safari. Microsoft Edge & Internet Explorer are not supported.

When will the abstracts titles be available on the virtual platform and mobile app?

  • Abstract titles and authors for oral abstract presentations will be available on the virtual platform and mobile app on Wednesday, Oct. 31, 2024.
  • Abstract titles and authors will be available on the microsite, on Oct. 4 at 9 a.m. EDT for Regular and YIA abstracts, and on Oct. 30 at 9 a.m. EDT for LBAs.
  • The full abstract publication will only be available through the JITC site, and will be available on Nov. 5 at 8 a.m. CT/ 9 a.m. ET. (Full abstracts will not be posted on the virtual platform or app.)

Will the posters be available on the virtual platform and app? Will there be posters available for all abstracts?

  • ePosters will be available through the virtual platform and app beginning Nov. 7, 2024 at 9 a.m. CST.
  • Though SITC strongly encourages authors to include them, ePosters are optional for poster presenters. If there is not an ePoster available under the poster title, it has not been submitted by the author.
  • ePosters on the virtual platform will be available through Jan. 7, 2025 when the platform closes. ePosters are not accessible after that date or available for purchase.

Will the posters be available for download?

Yes, the ePosters provided will be available for download on the mobile app.

When will session recordings (enduring materials) be online?

  • The full sessions will be available on the Virtual Meeting Platform up to 48 hours after the end of a session. The recorded sessions/presentations, once available, will replace the previously live sessions in the “Sessions” portion of the virtual meeting site. The virtual meeting platform will be available to registered attendees through Jan. 7, 2025.
  • Attendees will only have access to the sessions/presentations that they registered for.
  • Slides will be posted, as permitted by presenters, after Jan. 7, 2025 on the SITC website.
