The SITC Housing Partner, Showcare, will accept new hotel reservations, changes and cancellations until 5 p.m. PT on Wednesday, Oct. 7, 2026, or until rooms sell out, whichever comes first.   

To ensure the hotels have the most up-to-date information, please re-access your registration/housing account before the deadline. After this date, no cancellations or changes can be made while reservation information is being prepared and transferred to the hotels. As of Monday, Oct. 12, 2026, cancellations or changes must be made directly with the hotels. Change requests will be made on a space-available basis.  If you make changes directly with the hotel on or after Monday, Oct. 12, 2026, this information will not be reflected in your SITC registration.

Cancellation requests received by the hotel 72 hours or less prior to arrival and no-shows will be charged a one-night room and tax penalty and the rest of the stay will be canceled. 

SITC is not responsible for no-shows or early departure fees charged by the hotels or rooms resold due to non-arrival. 

Board, Speakers and VIP Reservations

If you are a Board Member, Speaker, or VIP, you will be responsible for paying for room nights and taxes, along with any incidental charges. You will submit your stipend form to SITC staff after the event. You must stay within the SITC housing block to qualify for the stipend.

Attendees are encouraged to stay at our SITC contracted Hotel. Staying at the contracted hotel not only allows attendees to take advantage of special discounted room rates but also puts them near all meeting events for maximum interaction with fellow attendees and faculty. Additionally, staying at these hotels helps the Society honor our contractual obligations to avoid negative financial implications which keeps meeting expenses and registration rates lower.

All hotel rates are quoted in USD and exclude taxes & fees. Hotel room rates are subject to applicable taxes (13.07%) that are in effect at check-out time. 
 
A credit card is required for each reservation and must have an expiration date on or after December 2026. The credit card must be in the name of the guest, or a 3rd party authorization may be required. Your room is not reserved if you do not provide a valid credit card. You will receive an email from your hotel with your confirmation number approximately 2 weeks before arrival. If you do not receive it, please check your spam folder before contacting your hotel. 
 
The organizer takes no responsibility if a room preference is not available at check-in. Please visit the hotel website for check-in and check-out times. Should you need to arrive early, please book an additional night; early check-in requests cannot be guaranteed. 
 
Each guest must present a valid credit card upon check-in.

SITC has a limited number of discounted rooms available for postdoctoral fellows and students. Reservations are based upon a first-come, first-served basis to students. One room reservation per student. Rooms are non-transferable. Individuals are responsible for all of their room charges, taxes and fees.

Individuals must be registered as a student member for the 2026 SITC Annual Meeting and/or a SITC 2026 Pre-Conference Program.
